At a glance

The problem
Every inbound call got the same human treatment, so salespeople spent more time screening poor-fit callers than selling.
Systems touched
Inbound phone calls and the existing CRM.
What we built
An AI layer that holds a natural first conversation with each caller, scores fit against criteria the sales team can adjust, then hands the call to sales with a brief or redirects it politely.
What changed
Calls reach a salesperson already screened with a summary attached, and every call adds to a record of where good-fit leads come from.

An illustrative composite rather than one named client's results, so it carries no outcome figures.

This page is an illustrative composite. It shows how this workflow runs and the kind of build we deliver, rather than the results of one named client, so it carries no outcome figures.

The Challenge

Picture a sales team handling a high volume of inbound calls, with a large share of its time going on leads that would never convert. Every call received the same treatment: a human answered, gathered information, assessed fit, and either progressed the conversation or politely ended it. The qualification step (determining whether the caller was a genuine prospect with budget, authority, and a real need) consumed more time than the actual selling.

Many of the calls were poor fits: wrong service expectations, not enough budget, or enquiries that belonged with support rather than sales. Each of those still took a salesperson off the phone queue for a full conversation. The people who should have been working the high-value prospects were doing triage instead.

The business had tried a screening questionnaire on the website, but callers bypassed it by phoning directly. They had tried routing rules based on the source of the call, but the signal was too weak to predict fit reliably. The problem required something that could engage with the caller, ask the right questions, and make a qualification decision in real time, before a human picked up.

The Approach

We built an AI-powered qualification layer that handles the initial phase of inbound calls. When a call comes in, the AI conducts a structured conversation to establish the caller’s situation: what they need, the scale of the project, their timeline, and their role in the decision. Based on the responses, the system assigns a qualification score and either routes the call to a salesperson with a pre-populated brief or provides a polite redirect for enquiries that are not a fit.

The critical technical decision was keeping the qualification conversational rather than mechanical. An IVR system that asks “press 1 for sales, press 2 for support” filters by category but not by quality. The AI engages in a natural dialogue, adapting its questions based on the caller’s responses. A caller who mentions a specific pain point gets follow-up questions that explore it. A caller asking for something outside the business’s scope gets redirected quickly and respectfully.

The qualification criteria are configurable and weighted. Budget, timeline, project type, and decision-making authority each contribute to the score. The thresholds can be adjusted without rebuilding the system. When the sales team refines what constitutes a good lead, the AI’s criteria update accordingly.

Integration with the existing CRM ensures that qualified calls arrive with context already attached. The salesperson sees a summary of the conversation, the qualification score, and the key details before they speak a word. Nobody has to open the call by asking the caller to repeat what they have already said.

What Was Delivered

  • An AI-powered call qualification system that screens inbound leads through natural conversation before human follow-up
  • Configurable qualification criteria with weighted scoring across budget, timeline, project type, and decision authority
  • Intelligent call routing: qualified leads passed to sales with a pre-populated brief, non-fits redirected respectfully
  • CRM integration so qualified calls arrive with conversation summaries and scoring context already attached
  • Adjustable thresholds that the sales team can refine as their understanding of lead quality evolves

The Result

What the workflow makes possible is a different shape of day for the sales team. Poor-fit calls are handled before a person picks up, so the calls that reach a salesperson have already been screened for fit, and their time goes on conversations with prospects worth talking to.

The pre-populated brief changed the quality of the first human interaction. Instead of opening with “tell me about your project,” a salesperson can open with “I see you are looking at X with a timeline of Y, so let me tell you how we would approach that.” The caller meets a business that already understands their situation.

The workflow also produces structured data. Because every call, including those that do not qualify, goes through the same conversation, the business can see the whole inbound funnel: why leads are not qualifying, which sources bring the best-fit calls, and how that changes over time. Marketing decisions can be made on that record instead of on gut feel.

What Made This Work

Making the AI qualification conversational rather than form-based is the decision the whole workflow rests on. Callers expect to talk to someone, not navigate a menu. An AI that asks natural questions and adapts to responses feels like the first stage of a real conversation, not a gatekeeper. People who qualify get a fast start to their engagement. People who do not are redirected without feeling dismissed. Both outcomes preserve the caller’s impression of the business, which matters because today’s non-fit enquiry might refer tomorrow’s ideal client.

Spending Too Much Time on Calls That Go Nowhere?

If your sales team spends more time qualifying than selling, the fix is structural.
