Integration

What This Integration Does

This integration pushes every Stripe transaction into QuickBooks as a properly categorised sales receipt or invoice, with the customer matched, the product mapped, and the tax calculated. No one needs to log into QuickBooks to enter the data. Subscriptions, one-off charges, and metered billing all flow through. When Stripe processes a refund, QuickBooks receives a corresponding refund receipt that keeps the accounts accurate.

For businesses running Stripe as their payment engine and QuickBooks as their accounting backbone, this removes the gap between money arriving and the books reflecting it. Your accountant or bookkeeper stops being a data entry operator and starts working with numbers that are already there.

The Workflow

The integration listens for Stripe webhook events across the full transaction lifecycle. When a invoice.paid event fires (whether from a new subscription, a renewal, or a one-off invoice), the system maps it to a QuickBooks transaction. The first step is customer resolution: the integration checks QuickBooks for an existing customer record using the Stripe customer’s email address. If no match is found, it creates a new customer in QuickBooks with the billing details from Stripe.

Next, the system maps each line item from the Stripe invoice to a QuickBooks product or service item. During setup, we define these mappings: your “Pro Plan” subscription in Stripe maps to a specific income account and service item in QuickBooks. A “Setup Fee” line item maps to a different account. These mappings handle the categorisation that would otherwise require manual judgement on every transaction. Tax is calculated based on the QuickBooks tax settings for the customer’s location, which means VAT, sales tax, or GST are handled correctly depending on your configuration.

The resulting sales receipt is posted to QuickBooks with the payment already applied. For businesses that prefer invoice-style records, the integration can create invoices and mark them as paid instead. Either way, the transaction lands in QuickBooks fully settled.

When Stripe fires a charge.refunded event, the integration creates a refund receipt in QuickBooks tied to the original transaction. Partial refunds are supported: the refund receipt reflects only the amount returned, preserving the net revenue from the original sale.

Stripe payouts are handled as a separate reconciliation layer. When Stripe transfers funds to your bank account, the integration can create a transfer record in QuickBooks that matches the payout amount, making bank feed reconciliation a one-click operation.

Before and After

Before: Your bookkeeper downloads the Stripe transactions report at month-end, sometimes mid-month if the accountant is chasing numbers. Each transaction needs to be entered into QuickBooks individually: customer name, amount, product category, tax treatment. For subscription businesses, this means dozens or hundreds of near-identical entries that still require human attention because the product mapping and tax treatment vary. Refunds require finding the original transaction and entering a credit. Stripe’s payout batching makes bank reconciliation especially tedious because a single bank deposit represents many individual charges.

After: Every Stripe transaction appears in QuickBooks within minutes, fully categorised and customer-matched. Refunds are recorded automatically. Bank reconciliation against Stripe payouts goes from a multi-hour puzzle to a straightforward matching exercise. The bookkeeper’s role shifts from data entry to review, confirming the automation is correct rather than doing the work from scratch. Month-end closes faster, and the numbers your accountant sees are complete from day one.

Who Needs This

This is most valuable for product businesses and subscription companies that process a high volume of relatively uniform transactions through Stripe and rely on QuickBooks for tax filing and financial reporting. The typical profile is a business processing a hundred or more Stripe transactions per month where the bookkeeping cost (whether in hours or in outsourced accounting fees) has become disproportionate to the complexity of the work. If your bookkeeper is spending more time entering Stripe data than analysing it, the integration pays for itself quickly. Xero users will find the equivalent build on the Connect Stripe to Xero page.

How We Build This

We build this as a custom integration using the Stripe API webhook system and the QuickBooks Online API with OAuth 2.0 authentication. This is not a plug-and-play connector. The integration runs inside your application infrastructure with full control over product mapping rules, tax treatment, customer matching logic, and error handling. QuickBooks API rate limits are respected with intelligent batching, and the OAuth token refresh cycle is managed automatically so the connection does not silently break. Failed webhook deliveries are retried through a queue system, and every transaction is logged. The full set of payment integrations we offer covers other platform combinations.

Start Syncing Stripe to QuickBooks

Stop entering Stripe transactions into QuickBooks by hand. We build the integration, configure your product and account mappings, and deliver a system where every payment, refund, and payout is recorded automatically. Reach out to get the connection scoped.
