What This Integration Does

This integration connects Twilio’s SMS capabilities to HubSpot’s workflow engine, so your team can trigger text messages based on CRM events without leaving HubSpot and without manual intervention. When a deal reaches a specific stage, a contact enters a lifecycle phase, or a form submission meets certain criteria, HubSpot triggers an SMS through Twilio automatically. The message content, timing, and recipient are all determined by the workflow logic you define in HubSpot.

Beyond automated outbound messages, the integration logs every SMS interaction against the relevant HubSpot contact record: sent and received messages both. Inbound replies from contacts are captured, timestamped, and attached to the contact timeline alongside emails, calls, and meeting notes. Your sales and support teams see the complete conversation history in one place, regardless of whether the interaction happened over email or text.

This is a purpose-built API integration that gives you full control over message templates, delivery timing, opt-out compliance, and conversation threading. Twilio handles the carrier-level delivery. HubSpot handles the business logic. The integration connects them with the reliability and flexibility that off-the-shelf connectors cannot match.

The Workflow

HubSpot workflows trigger the integration through a custom action. When a contact meets the enrolment criteria (deal stage change, lifecycle stage transition, form submission, or any property-based condition), the workflow fires a webhook to your integration endpoint. The payload includes the contact ID and the workflow action configuration, which specifies the message template and any personalisation tokens.

The integration fetches the contact record from HubSpot’s API to resolve personalisation tokens (first name, company, deal value, appointment time) and composes the final message. Before sending, it checks opt-in status and compliance requirements. If the contact has opted out, the send is skipped and the reason is logged.

Twilio handles delivery and returns status callbacks (queued, sent, delivered, failed), which are written to the HubSpot contact timeline. Failure reasons, including invalid numbers, carrier rejections, and opt-outs, are recorded for follow-up.

Inbound replies arrive via Twilio webhook. The integration matches the sender to a HubSpot contact, logs the message, and optionally triggers a workflow. A contact replying “yes” to a confirmation can automatically advance their deal stage.

Before and After

Before: Your team sends SMS messages manually through a separate tool or personal phones. Text conversations are invisible to the CRM. When a sales rep texts a prospect to confirm a meeting, that interaction exists only on their phone. Colleagues picking up the account have no record of it. Automated text reminders require a third-party SMS tool with its own contact list, disconnected from HubSpot’s segmentation and workflow logic. Opt-out management is handled separately, creating compliance risk.

After: SMS is a native channel within your HubSpot workflows. Appointment confirmations, follow-up nudges, and deal stage notifications are sent automatically based on CRM events. Every message (outbound and inbound) appears on the contact timeline. Opt-out requests are processed immediately and reflected in both Twilio and HubSpot. Your team works in HubSpot as usual, and text messaging happens in the background without any additional tools or manual steps.

The integration is built as a server-side service that sits between HubSpot and Twilio. HubSpot custom workflow actions are configured through a HubSpot app with the required scopes. Twilio’s Messaging Service handles delivery with sender ID configuration, opt-out keyword management, and carrier compliance built in.

Message templates are defined with HubSpot personalisation tokens that the integration resolves at send time. We implement rate limiting to prevent workflow misconfiguration from sending hundreds of messages in a burst, and deduplication logic to ensure a contact does not receive the same automated message twice within a configurable window.
