What This Integration Does
This integration sends every WordPress form submission directly into HubSpot as a fully structured contact record. Not through a HubSpot tracking code or a generic form plugin, but through a custom API connection built between your WordPress site and HubSpot’s contacts API. Each submission creates or updates a contact with the exact fields, lifecycle stage, and pipeline position your sales team needs.
When someone fills out a contact form, requests a quote, or downloads a resource on your WordPress site, the integration captures the submission data, maps it to your HubSpot properties, and pushes the record into the right pipeline. If the contact already exists in HubSpot, the record is updated rather than duplicated. If certain form fields map to custom properties you have set up in HubSpot (industry, company size, service interest) those are populated automatically.

The Workflow
A visitor submits a form on your WordPress site. Your site’s backend receives the submission and fires an event. That event triggers an API call to HubSpot’s contact creation endpoint, passing the mapped field data along with metadata like the page URL, UTM parameters, and submission timestamp.
HubSpot receives the payload and either creates a new contact or merges the data into an existing record based on email address matching. The integration sets the lifecycle stage based on form type: a general enquiry becomes a subscriber, a quote request becomes a marketing qualified lead. If you have HubSpot workflows configured, those fire immediately based on the new contact’s properties.
For forms with file uploads or multi-step submissions, the integration queues the API call so that the visitor’s front-end experience is unaffected. Failed calls are retried with exponential backoff, and persistent failures are logged for review.

How We Build This
We start by auditing your existing WordPress forms and your HubSpot property structure. Every form field is mapped to a HubSpot property, and we identify any custom properties that need to be created. We define the lifecycle stage rules (which form types create which contact stages) and document the expected behaviour for duplicate handling.
The integration is built as a server-side connection using HubSpot’s v3 Contacts API with OAuth 2.0 authentication. Form submissions are processed through a queue so the visitor’s front-end experience is unaffected. We implement deduplication logic using email address matching, rate limit handling to respect HubSpot’s API thresholds, and structured error logging so failed submissions are never silently lost.
