What This Integration Does

This integration pushes Xero accounting events into Slack channels in real time. Invoice creation, payment receipts, overdue invoice alerts, bank transaction imports, and bill approvals all arrive as formatted Slack notifications. Your finance team, leadership, and project managers see the financial data they need without logging into Xero.

Xero does not have a native Slack integration beyond basic reminders. This custom build uses Xero’s API and webhook system to deliver structured financial notifications that include the detail your team actually needs. An invoice payment notification includes the client name, invoice number, amount, and whether the account is now fully paid. An overdue alert includes the days overdue, original due date, amount outstanding, and a link to the Xero invoice.

Financial notifications are sensitive, so the integration respects channel-level access control. Leadership might see revenue summaries. The finance team sees all payment activity. Project managers see only invoices related to their clients.

The Workflow

Xero publishes events through its webhook system when invoices, payments, contacts, or bank transactions are created or updated. The integration receives these events at a secure endpoint that validates each delivery using Xero’s webhook signature key.

Since Xero’s webhooks provide minimal payload data (typically just the resource type and ID), the processing layer calls back to Xero’s API to retrieve the full record. An invoice payment webhook triggers a lookup for the invoice details, the associated contact, and the payment information. This enrichment step transforms a bare event notification into a useful Slack message.

Routing rules determine which channels receive each notification type. All payment receipts might go to a finance channel. Invoices overdue by more than thirty days might escalate to a leadership channel. Large payments above a defined threshold might notify the managing director directly. Bank feed imports can go to the bookkeeper’s channel with a reconciliation count.

Messages are delivered via Slack’s Web API using Block Kit formatting. Each notification type has a tailored template: invoice notifications include line items and tax breakdowns, while payment notifications show the payment method and remaining balance.

Before and After

Before: The finance team logs into Xero several times daily to check for incoming payments. Overdue invoices are caught during a weekly review, not when they become overdue. Leadership asks “have they paid yet?” and someone has to check manually. Cash flow visibility depends on someone pulling a report, which happens irregularly. Bank transactions arrive overnight and are reconciled the following morning with no immediate visibility.

After: Every incoming payment triggers a Slack notification to the finance channel within minutes. Overdue invoices are flagged the day they become overdue, not days later. Leadership sees large payments confirmed in their channel without asking. The accounts team knows the moment bank transactions are imported and ready for reconciliation. Cash flow is visible as it happens, not as a periodic report.

Who Needs This

Small to medium businesses using Xero as their accounting platform where the finance team or business owner communicates through Slack. This integration is particularly valuable in agencies and professional services firms where cash flow is directly tied to project delivery and client relationships.

Business owners who want financial pulse-checks without opening Xero will find this useful. Seeing payments arrive throughout the day provides a confidence signal that is hard to get from periodic reporting.

Accounts teams managing a high volume of invoices benefit from immediate overdue alerts. When you have fifty or a hundred outstanding invoices, a daily alert for newly overdue items is far more manageable than scanning the entire aged receivables report. If payment failures are also a concern, the Stripe and Slack Integration complements this with card-payment event visibility. For broader context on where this fits within your industry, see the Finance Industry page.

How We Build This

We start by identifying which Xero events are relevant and who in your organisation should see them. Accounting events are high-frequency in active businesses, so getting the filtering right is essential. Not every bank transaction needs a Slack message, but every payment receipt probably does.

The integration authenticates with Xero using OAuth 2.0 with automatic token refresh. Xero’s OAuth tokens expire after thirty minutes, so the token management layer is a critical part of the build. Webhook event processing uses an asynchronous queue with the additional API calls to Xero for enrichment, respecting Xero’s rate limits of sixty calls per minute.

We handle Xero’s webhook intent-to-receive validation, which requires the endpoint to correctly respond to a verification challenge before Xero will begin sending events. Message templates are designed per event type and tested with your team before going live. For a full picture of what the Xero API side of this involves, see the Xero API Integration page.

Typical build time is two to three weeks. The Xero API enrichment calls and OAuth token management add modest complexity compared to simpler webhook-only integrations.
