AI Automation

UK AI automation services: we build AI steps that classify, extract, draft and route inside your existing systems, with a person checking what matters.

AI automation is the work of putting a language model into one step of a process your business already runs, so that reading, sorting, extracting or drafting happens without someone doing it by hand, and the result goes straight into the systems you use.

What This Is

Most business processes have a step that ordinary automation can’t do because it involves reading something. An email arrives and someone decides whether it’s a complaint, an order or a supplier query. A PDF comes in and someone copies the reference, the amount and the due date into the accounts system. A form is submitted and someone judges whether it’s a real enquiry. Rules can’t handle these well because the input is written by people, in whatever words they chose.

That reading step is where we put the AI. Everything around it stays ordinary software: the trigger that picks up the email, the database record the extracted fields are written to, the queue that sends the result to the right person, and the log that shows what happened. The model does one bounded job in the middle, and the rest of the chain is code we can test.

Here is how the three nearby services divide up. Business automation removes rule-shaped manual work, where the same input always gets the same decision. AI development builds AI features into applications, such as search over your own documents. AI automation, this page, is the case where a workflow needs judgement on unstructured input at one or more points, and the job is to make those points run by themselves with a person reviewing what carries risk.

What We’ve Built

Everything in this section runs in production. For a lead-generation business we built and run an AI voice agent that handles inbound calls at scale, alongside an AI plausibility check that screens every lead before it moves on. On our own website, every enquiry form passes through an AI screen that blocks only submissions it’s confident are fake. If the model is slow or unavailable, the enquiry goes through anyway, because losing a real lead costs more than letting a doubtful one reach a person. That choice between failing open and failing closed is one we make deliberately for every AI step we build.

For a legal-marketing platform we built AI analysis that runs in batches across a large dataset of firms, as part of the live product. Our AI call qualification case study walks through another build of this kind.

When You Need This

The signal is a person, or several, whose day is mostly reading and re-typing. A shared inbox that someone triages every morning. Invoices, delivery notes or application forms arriving as attachments and being keyed in. Call notes that should update the CRM but rarely do. Inbound enquiries that need a first pass to separate the real ones from the rest.

If a rule could make the decision (“anything from this supplier goes to accounts”), it doesn’t need AI, and building it with a model would make it slower, dearer and less predictable. Our comparison of AI agents vs automation sets out where that line falls.

We’re not a fit if you want a chatbot on your homepage or a general “AI strategy”. We build specific automations into specific processes.

How We Work

  1. Pick one step. We start with a single task that is repeated often and has a clear right answer somebody can check. A good first job is sorting inbound email into five categories. “Handle customer service” is too broad for a first job.
  2. Collect real examples. We use a few hundred past cases from your own inbox, documents or records, with the answers your team gave. That set is how we measure whether the AI step is good enough before it goes near live work.
  3. Decide what happens when it’s unsure. Every AI step returns a confidence signal or a “don’t know” route. Low-confidence items go to a person with the model’s suggestion attached, so their review takes seconds.
  4. Build it into your systems. The step reads from and writes to the tools you already use, such as your CRM, inbox, accounts package or database, through their APIs. Nobody has to open a new app to use it.
  5. Watch it after launch. We log every input, output and human correction, so drift shows up in the log rather than in a customer complaint.

Once it’s live, the automation is supported through our dashboard. Change requests are ticketed, time is logged against them, and you can see both. When the model’s behaviour needs adjusting or a new category is needed, that request goes on the record and gets worked like any other.

What You Get

  • One or more AI steps running inside your existing workflow, triggered automatically
  • A measured baseline: how the AI step performed on your own past cases before launch
  • A human-review route for low-confidence or high-risk items, with the model’s suggestion attached
  • A readable log of every decision, including the corrections your team made
  • A defined failure behaviour for each step, so an outage at the AI provider doesn’t stop your process
  • Ongoing support through a ticketed, time-logged process

Technologies We Use

Language models from OpenAI and Anthropic, chosen per task on accuracy, speed and cost. For most classification and extraction work a smaller, faster model is enough, and we test that before paying for a larger one. Speech-to-text and text-to-speech services where the input is a phone call. The surrounding software is typically Laravel with queued workers, connecting to your systems through their APIs, with our OpenAI integration work covering that platform in more depth.

Related Systems

AI steps often sit inside a larger system we build around them: a lead management system that scores and routes enquiries, a document intake pipeline, or a support queue. Where an AI component runs continuously as an agent through our Beacon product line, Beacon Agents pricing sets out how that is charged. The full list of what we build is on our services overview.

Bring the One Task Your Team Repeats

To put a rough figure on that task first, our free automation ROI calculator turns its hours and the people involved into a range of time and money freed each year. Then tell us about it: what comes in, what your team does with it, and where the result ends up. We’ll tell you whether an AI step will handle it reliably, what a person still needs to check, and how we’d build it. Get in touch.
