Almost everything that moves by road in England passes through the West Midlands. Birmingham sits at the centre of the area the ONS defines as within a four-hour drive of 90% of the UK population (the “Golden Logistics Triangle”), and the goods physically flowing through the M5, M6, M42 and M40 box have to be planned, tracked, delivered and invoiced by operators who often cannot see, in one place, where any given load is. The marquee tenants of the big parks like Prologis Park Hams Hall (DHL, Kuehne+Nagel, Jaguar Land Rover, BMW, Fiege) are global enterprises with in-house IT departments, and they are not who we build for. The firms that feel the visibility gap are the independent, often family-run hauliers and the mid-market 3PLs and contract-warehousing SMEs around them: operators like FSW Ltd, RGF Logistics, DRP Logistics and Birmingham Bond, who run capable bought-in systems but have no developer on staff to make those systems talk.

Software That Lets You See Goods Move Through the Golden Triangle

In distribution there is one question that matters more than any other, asked dozens of times a day: where is the load right now, and can the customer see it? For most operators here the information exists but is scattered. The transport plan sits in one system, the vehicle’s position in a telematics box, the goods in store in a warehouse system, the customer’s order in a fourth screen. Nobody can assemble a single live picture without flicking between logins or picking up the phone.

A real-time visibility layer closes that gap. It reads vehicle and job status from the systems you already run and presents one live view of every load (planned, loading, in transit, delivered), so the transport office answers an ETA from a screen instead of a radio call. The same layer is what makes a customer portal possible.

Where the TMS, Telematics and Warehouse Stop Talking

The systems Midlands operators run are good systems; the problem is that they each hold one piece and were never wired to each other.

  • The transport management system (many local hauliers run Mandata, a UK-built TMS used by more than 7,000 operators and around 30% of Motor Transport’s Top 100) holds the plan and the jobs.
  • Telematics and route data (typically Microlise, one of the UK’s leading providers of fleet telematics, journey planning, tacho compliance and electronic proof of delivery) holds where the vehicles are.
  • The warehouse management system (for 3PLs running multiple client accounts, platforms like Mintsoft, Descartes Peoplevox or SnapFulfil) holds what is in store versus what has shipped.
  • The accounting package (Sage, Xero or QuickBooks) holds the money, and rarely receives anything from the three systems above without someone retyping it.

Each is authoritative on its own slice and silent on the rest. The cost is not a bad tool; it is the manual reconciliation between four good ones. A 3PL juggling several client contracts has no single picture of what is stored versus in transit; a haulier reconciles the route plan against driver-hours compliance and actuals by hand. The vendor’s answer (“that’s not what our product does”) is what turns a generic software search into a real enquiry, because the operator needs bespoke integration, not a new platform.

From Proof of Delivery to Paid Invoice Without Rekeying

The clearest place this costs real money is the run between delivery and invoice. A driver captures proof of delivery in an ePOD app at the kerb: signature, timestamp, condition, photos. In theory the job is done. In practice that POD does not flow back into the TMS and the accounting ledger on its own, so it gets chased, scanned and rekeyed before an invoice can go out. Every day that sits between a completed delivery and a raised invoice is a day of cash-flow drag, multiplied across a fleet.

Wiring ePOD straight through to the TMS and the finance system turns that into one automatic flow: the load is delivered, the POD attaches to the job, the job becomes an invoice, the ledger updates. Much of the distribution office’s day is spent answering questions a screen could answer. Shippers and clients ring or email for an ETA, a stock level, or a copy of a POD, and someone stops to go and find it. Mid-market WMS platforms like Mintsoft offer an optional client portal, but the bespoke view a specific operator needs (pulling live transit status from telematics, stock from the warehouse and PODs from the driver app into one branded self-serve screen) falls outside what the product ships with.

A customer portal built on your systems’ data lets a client log in, watch their loads move in real time, check stock and pull their own paperwork, without a phone call. In the most contested logistics market in the country, that live view is increasingly what wins and keeps the contract. A supplier the customer can watch work is a different proposition from one they have to chase.
