The Problem

Contracts are the legal foundation of client relationships, but most businesses manage them through email attachments and shared folders. Contracts are created in Word, emailed for review, printed for signature, scanned back in, and saved to a folder that no one checks until something goes wrong.

The risks accumulate quietly: contracts that expire without renewal, unsigned agreements that everyone assumes are signed, and version confusion when the “final” document has been revised twice since it was last sent. When a dispute arises or an audit requires evidence, the search through email archives and shared drives begins. The answer is not always there.

A contract management system handles the full lifecycle of a contract in a single platform: creation, review, signing, storage, and tracking. Every contract is digital, signed electronically, stored permanently, and tracked through its lifecycle with clear status visibility.

  • Review workflow: structured review and approval before a contract is sent for signature

How We Build This

Contract management systems are built on Laravel and React, with SignWell as the default e-signature provider (other providers can be integrated). The system connects to your client data so contracts are pre-populated with the correct details and linked to the right client record.

Key design decisions:

  • Template system: which contract types you use, what fields are variable, and what is boilerplate
  • Approval workflow: who needs to approve a contract before it goes to the client, and how many approval stages
  • Webhook integration: real-time status updates when a signature is completed, so your system knows immediately
  • Storage and access: where signed contracts are stored and who can access them (role-based permissions)
