Inbound Form Routing

Inbound forms landing in a shared inbox get lost between salespeople. Structured routing assigns each enquiry to the right person with full context.

The Scenario

Your website has a single contact form. Form submissions land in a shared inbox monitored by the sales team: five people who agree, in principle, that whoever picks it up first owns the lead. In practice, three of them are good about picking up, one is sometimes too busy, and one believes the others have got it. New submissions accumulate during the day; some get followed up within the hour, some get followed up the next morning, some get forgotten until someone scrolls down far enough to find them.

There is a second problem the team does not name. Some enquiries should go to the senior salesperson because they are large or strategic. Some should go to the new starter because they are simple. Today they go to whoever clicks first.

The Problem

The specific frustration is the enquiry that landed at 4:15pm on a Wednesday from a clearly substantial prospect, did not get picked up by anyone before the end of the day, and was followed up at 11am Thursday by the new starter, who handled it well but missed the cues that would have made a senior salesperson realise this was a six-figure opportunity. The prospect went into the funnel at half-pace and never recovered the momentum.

Larger or strategic prospects route to the senior salesperson. Simple enquiries route to the new starter or to a round-robin among the junior team. Out-of-hours submissions get a holding response and route at 8am the next morning.

The routing layer is built on a lead generation system integrated with the CRM through an API integration, so each assigned lead lands in the salesperson’s queue with full context: the form data, the enrichment, the routing reason, and any prior interactions with the company. Notifications fire to the assignee. If they do not act inside the defined SLA, the lead escalates to the next person in the rule. The shared inbox does not disappear, but it stops being the place where ownership is decided.

The Outcome

The 4:15pm enquiry does not wait until 11am the next day to be picked up. It is routed within minutes of submission to the salesperson best matched to it, with the company context already attached and the SLA clock running. The senior salesperson stops missing strategic enquiries because they happened to be in a meeting at the moment of submission. The new starter stops being handed enquiries above their level. Response times tighten because no enquiry is sitting in a shared inbox waiting for someone to claim it.

The hit rate on inbound leads improves because the right person is handling each conversation with the right preparation. The hidden variance in lead handling becomes visible variance. Once visible, it is addressable. Sales management can see how each routing rule is performing, where the team is breaching SLA, and which enrichment signals correlate with closed deals. The shared inbox becomes an archive rather than a triage.
