What This Integration Does

This integration feeds WooCommerce order and customer data into Salesforce so that your sales and account management teams work from a single, accurate view of each customer’s commercial relationship with your business. Orders placed through your WooCommerce store appear as Salesforce records, linked to the correct accounts, visible in reports, and available to the workflows your team already relies on.

WooCommerce is a flexible e-commerce platform, but it was not designed to be a CRM. When your business reaches the point where customer relationships need structured management (territory assignments, account scoring, renewal tracking, or multi-stakeholder sales processes) that work happens in Salesforce. The problem is that online revenue data stays in WordPress while the CRM stays in Salesforce, and the gap between them grows with every order.

This integration closes that gap with a direct API connection. No manual exports, no reconciliation spreadsheets. WooCommerce events flow into Salesforce objects through a custom-built pipeline that respects your org’s structure and your team’s processes. The Workflow

The integration uses a combination of WooCommerce webhooks and scheduled sync jobs to keep Salesforce current.

Order webhooks fire from WooCommerce to a custom endpoint running inside your WordPress installation. The handler authenticates the payload, extracts the order and customer data, and pushes it to a background queue. Processing happens asynchronously so that webhook handling never affects storefront performance.

The sync job connects to Salesforce using the JWT bearer flow, a server-to-server authentication method that requires no user interaction and handles token management automatically. The job resolves the WooCommerce customer to a Salesforce account using a configurable matching strategy. For B2B stores, this typically matches on company name or a shared account reference. For D2C stores, it matches on email address against the contact object.

Each order is created as a Salesforce opportunity with custom fields holding order number, payment status, shipping method, and WooCommerce order notes. Line items are mapped to Salesforce products with quantities and pricing intact. The opportunity stage reflects the WooCommerce order status, and status changes in WooCommerce propagate to Salesforce automatically as the order moves through fulfilment.

Account-level rollup fields in Salesforce aggregate e-commerce data: total online revenue, number of orders, last order date, and most recent product categories purchased. These rollups update with each synced order and are available in Salesforce reports and dashboard components.

A daily reconciliation job queries both systems, comparing order counts and totals for the previous 48 hours. Any discrepancies are logged and, where possible, automatically corrected by re-syncing the affected records.

Before and After

Before: Account managers check WooCommerce admin to see what their accounts have ordered online, then update Salesforce manually. More often than not, they skip the update entirely. Quarterly business reviews rely on someone pulling WooCommerce exports and merging them with Salesforce pipeline data in a spreadsheet. Total account revenue is an estimate because online and direct sales live in separate systems.

After: Salesforce is the single source of truth for account revenue. Online orders appear on the account record within minutes of being placed. Reports combine direct sales pipeline and e-commerce revenue without manual work. Account managers see ordering trends in real time and can act on them: reaching out when a key account’s online ordering slows down, or identifying accounts that are growing online and might benefit from a direct relationship.

This integration is for businesses that sell through WooCommerce and manage customer relationships in Salesforce. It is most impactful for companies where the same customers interact through both channels, placing orders online while also engaging with a sales or account management team.

Common profiles include B2B manufacturers and distributors with a trade ordering portal built on WooCommerce, professional services firms that sell productised offerings online alongside consultative sales, and D2C brands whose highest-value customers have dedicated account managers.

How We Build This

The project starts with a mapping exercise. We document your Salesforce org’s object model: standard and custom objects, field types, record types, and any validation rules that the integration needs to satisfy. We then map WooCommerce’s order and customer data onto that model, identifying where custom fields or objects are needed.

The integration is built as a WordPress plugin with a dedicated settings interface for connection management and sync configuration. WooCommerce hooks capture order events at the application level, which is more reliable than relying solely on REST API webhooks for WordPress-hosted stores. The plugin queues sync jobs through the WordPress action scheduler with configurable concurrency limits to prevent API rate limit issues on either side.

Salesforce API calls use composite requests where possible, creating an opportunity with its line items and account association in a single API call rather than multiple sequential requests. We run a historical backfill before launch, importing existing WooCommerce orders into Salesforce as closed opportunities with their original dates preserved. This gives your team historical context from day one rather than starting with an empty pipeline.

Post-launch monitoring includes a health check endpoint that reports sync queue depth, error rates, and the timestamp of the last successful sync. Alerts fire if the queue backs up or error rates exceed a threshold.
