It is a Tuesday at an independent production company at MediaCityUK, and three jobs are live in the building: one shooting in a hired studio, one in the edit, one waiting on a client’s sign-off. The producer wants a single answer (are we on track?) and cannot get it without opening four systems. Is Thursday’s crew booked? Has the hero clip been cleared for reuse? Are we over budget on the second job? Did the client ever approve version three? Each answer lives somewhere different, so the morning goes on chasing them instead of making work. That gap, between knowing the work is happening and being able to see it, is what sends production and post firms here looking for custom software.

MediaCityUK is the largest media and broadcasting cluster in the UK outside London, anchored by BBC North’s roughly 2,700 staff across Quay, Bridge and Dock House and ITV’s Granada and Studios operation nearby. The broadcasters are not the ones with the Tuesday problem. They build broadcast systems at enterprise scale and are not our clients. The firms that feel it are the ones producing for them: the indies like Quay Street Productions, Nine Lives Media, Lion Eyes, Factory Create and Studio Liddell, the boutique post houses, and the casting, kit-hire and media-services SMEs inside the wider base of 250-plus creative and tech businesses on the estate. With a roughly £1bn Phase 2 approved to more than double the site by around 2030, that pool of multi-project, freelancer-reliant firms is growing.

The Systems Behind That Tuesday

Walk back through the producer’s four unanswered questions and each one lands on a different tool that does not talk to the others.

  • “Is the crew booked?” Studios, suites, kit and freelancers are scheduled in farmerswife (or, for facilities still on ScheduALL after Xytech discontinued the product, a stranded legacy tool) with no single live view of capacity, so two jobs book the same editor and nobody sees it until the clash.
  • “Has the clip been cleared?” Footage lives in a media asset manager (Avid MediaCentral, EditShare FLOW, iconik or CatDV) but clearances, licences and usage windows sit in spreadsheets, so reuse becomes a manual hunt.
  • “Are we over budget?” Production accounting and payroll (typically Sargent-Disc with Movie Magic Budgeting) sit apart from the scheduler and from the accounting platform (Xero or Sage), so cost against budget is reconciled by hand, after the fact.
  • “Did the client approve it?” Review and sign-off happen over ad-hoc links and email, versions get confused, and the audit trail is rebuilt at delivery.

On a single job, carrying data between these by hand is tolerable. Run a dozen in parallel, as these firms do, and the rekeying scales with the slate while the margin holds still. The same churn shows up in freelancer admin: with the University of Salford’s media school feeding a constant stream of crew onto the estate, onboarding, timesheets and payments get re-entered for a different team on every project.
